Temporary Programming and Touring Assistant

 

The Programming and Touring team seeks assistance in completing essential tasks that ensure the smooth operation of our team. The core activity of the team includes tour booking for the Jazz at Lincoln Center Orchestra (JLCO) with Wynton Marsalis; concert season artist booking and contracting; artist booking and liaising for Jazz at Lincoln Center’s (JALC) jazz clubs in New York and Shanghai, China; and all related budget management and finance processes. The ideal candidate has a keen interest in arts administration, has excellent organization skills and demonstrates a superior attention to detail.

Responsibilities

  • Create artist and consultant agreements using Salesforce software; submit for approval and send to contracting party.
  • Compile, organize and submit material for artist visas for JALC Shanghai.
  • Enter project dates, concert personnel and instrumentation into programming database.
  • Create documentation related to JLCO touring activity, including contract documentation, schedules and tour itineraries.
  • Create and/or process check requests, timesheets, vendor invoices, and artist contracts for payment.
  • Assist with account coding for Purchase Card (P-Card) expenses incurred by department staff.
  • Other administrative tasks as required.

Qualifications

  • High school diploma or equivalent required. Bachelor’s degree preferred.
  • A minimum of one year experience in an administrative role.
  • Strong proficiency in Microsoft Office, especially Word and Excel, are required. Working knowledge of ArtsVision and/or Salesforce software helpful.
  • Excellent organizational skills and superior attention to detail.
  • Ability to meet strict deadlines.
  • Strong interpersonal skills, including ability to work with diplomacy and tact.
  • Familiarity with artist booking and contracting helpful.

Hours

Up to 25/hours week
