Coordinator, Special Events

 

Jazz at Lincoln Center (JAZZ) is a 501(c)3 not-for-profit dedicated to inspiring and growing audiences for jazz. JALC advances a unique vision for the continued development of the art of jazz by producing a year-round schedule of performance, education and broadcast events for audiences of all ages.

The Development Department seeks a business-minded, mission driven, and creative individual to assist the team in planning more than 30 events annually. He/she must posses a high level of customer service, solid organizational skills and the ability to adapt quickly/problem-solve.


Responsibilities

Events:

  • Under the guidance of the Associate Director and Special Events Manger, assist with planning, coordinating and executing logistics for internal and off-site membership events including and related to Friends of Jazz, Patrons Program and Chairman’s Circle events.
  • Manage the creation and dissemination of invitations via WordFly and maintain guest lists in the Tessitura Database.
  • Work closely with internal department partners and stakeholders as well as external vendors to support event logistics and objectives.
  • Work with Individual Giving team to help plan events for season membership calendars.
  • Ensure consistent high quality service and execution standards when working with clients and staff.
  • Assist Associate Director and Manager with fundraising event details and logistics including collateral materials, mailing lists, event attendees, tastings, seating, table arrangement, schedule of event, day of details, and contributions.

Volunteer Program:

  • Oversee the Volunteer Program and coordinate monthly schedules, recruiting, orientation, and training as needed.
  • Effectively communicate responsibilities and expectations to volunteers.

Rhythm Club:

  • Work with Associate Director and Manager on developing events and providing support for JALC’s young patrons program, Rhythm Club.
  • Complete other relevant duties as assigned.


Qualifications

  • Bachelor’s degree required and minimum of one year administrative experience. Event planning or non-profit experience preferred.
  • Excellent written, oral and interpersonal communication skills.
  • Ability to provide effective and high-touch customer service for internal and external vendors.
  • Ability to work with diplomacy and tact and maintain confidentiality.
  • Working knowledge of Microsoft Word and Excel, proficiency with email, internet and research databases required. Knowledge of Tessitura a plus.
  • Strong customer service, time management, and creative thinking skills.
  • Ability to work under pressure, maintain deadlines and effectively manage multiple projects.
  • Ability to function in a team oriented environment as well as independently.
  • Must be able to move and lift small event items as necessary (25 lbs.).
  • Must be willing to work nights and weekends as determined by event needs.
  • Knowledge of or keen interest in and appreciation of jazz and jazz culture helpful.
