Assistant Director, Concerts and Touring Operations

 

The Assistant Director, Concerts and Touring Operations serves as a key member of a producing team responsible for staging concerts at Frederick P. Rose Hall (“FPRH”) and around the world. The team’s focus is on JALC’s annual concert season performances, from booking, through execution to final accounting.  The Assistant Director leads institution-wide coordination of concert audio/video capture and has a key role in creation of budgets and financial management. The ideal candidate will be detail-oriented, comfortable working in a fast-paced environment, and have the ability to manage multiple tasks and projects.

Responsibilities

Concert Operations – 35%

  • Stage season presentations and produce one-off special events, collaborating with key stakeholders from all departments at JALC, particularly Production, Education, Development, and Brand, Sales and Marketing.
  • Day to day management of budgets for artistic and production expenses related to main stage concerts, webcasting and concert recording/distribution.  Assist as necessary in budgeting for special projects, production and music administration expenses.
  • Provide updates to the team around needs, expectations and expenditure associated with staging superb performances.
  • Resolve issues around business deals and rider requirements, media capture and use, or clarification of JALC processes such as payment timelines, visa requirements and/or taxation for foreign artists.

Audio and Video Capture – 35%

  • Create and manage an annual budget for audio and video capture, covering expenses related to audio recording, video recording, data management, recording rights management.
  • Arrange media capture of season concerts presented in FPRH, from planning through capture, encoding and upload for live webcasts.
  • Manage the webcasting production calendar and make certain all webcasts are properly staffed and go live at their determined start times.
  • Determining staffing needs and manage all processes related to hiring contractors and/or part time staff.
  • Facilitate communication and adhere to best practices in planning audio and video capture and special needs for individual projects.
  • Coordinate logistics with the Chief Engineer, SiriusXM Satellite Radio Studios to ensure the audio capture plan for each season is communicated and confirmed.
  • Manage diverse relationships with JALC consultants, regularly confirming schedule of upcoming recordings, as well as availability of archived concerts for various purposes. Coordinate with Program Director, SiriusXM Satellite Radio to confirm artist grant of rights for broadcasts of live shows.
  • Ensure that the transfer of audio and video media from point of capture to JALC’s audio/video library is efficient and that necessary media (kiPro drives, G-Drives, cds and other media used) is available and provided in the quantity and capacity required.
  • Assist with planning any audio or video capture for off-site concerts as necessary, including strategy, budget creation, hiring of personnel and implementation.

Touring Operations - 20%

  • Project manage select Jazz at Lincoln Center Orchestra tours, traveling with the orchestra as necessary and implementing elements that include, but are not limited to:
    • Contracting, advancing, creation of schedules and itinerary, liaison with JLCO Tour Manager, communication with orchestra and staff, and processing payments such as per diem.
    • Tracking contracts and deposits, following up routinely with presenters.
    • Assisting with the creation of a tour itinerary, booking of artist travel, hospitality, hotel accommodations and ground transportation, as required.
    • Completing and sharing post-show reports for each location that enable the touring team to assess impact, quality and effectiveness of the orchestra’s visit.

Contracting and Administrative Work – 10%

  • Manage the contracting of all artists and consultants associated with assigned productions.
  • Oversee the petitioning on behalf of Jazz at Lincoln Center for non-immigrant visas so that international artists may travel and perform at Frederick P. Rose Hall.
  • Accountable for meeting expense goals outlined in annual operating budget.

Supervisory Responsibilities:

  • Cultivate JALC’s relationship with key consultants who provide services to JALC on an annual, or seasonal, basis.
  • Supervise the work of 1 full time associate and a roster of 2-3 webcast assistants.

Qualifications

  • Bachelor’s degree required with a minimum of five years’ experience in the performing arts.
  • History of producing large scale/complex events - taking an event from conception through production.
  • Knowledge of jazz music and the artists and professionals in the jazz business.
  • Extensive knowledge of audio production, video production, and stagecraft.
  • Excellent written and verbal communication skills.
  • High level of motivation, persistence and patience.
  • Strong organizational and computer skills.
  • Ability to juggle multiple tasks and work to a deadline.
  • Experience with IATSE Local 1 stage technicians helpful.
  • Working knowledge of Local 802 collective bargaining agreements helpful.
  • Interest and availability to work a flexible schedule (i.e. nights or weekends) and go on tour domestically and internationally, as required.
